IntelliDent is a trading name of Dentalytics Limited (company no. 16117212), registered at Office 24, Airfield Business Park, Market Harborough, England, LE16 7WB. For the personal data described in this policy we are the data controller, except where we say otherwise. You can reach us at hello@intellident.uk.

Information you give us. When you contact us, book a call or subscribe to our newsletter, we collect the details you choose to share: your name, business email address, phone number, practice or group name and your message.

Information collected automatically. With your consent, our website analytics record how the site is used - pages visited, time on page, device type and referral source - so we can improve it.

Customer data. When a practice or group becomes a customer, we process records from the business systems it chooses to connect in order to provide the IntelliDent platform. Where those records include personal data held by the practice, the practice remains the data controller and IntelliDent acts as a data processor under a written data processing agreement, processing that data only to deliver the service.

We do not sell personal data, and we do not use it to build advertising profiles.

Under the UK General Data Protection Regulation (UK GDPR) we rely on:

• Contract - where processing is necessary to provide the service you have asked for
• Consent - for the newsletter and for analytics cookies
• Legitimate interests - for responding to enquiries and improving the service
• Legal obligation - where the law requires us to process or retain data

Customer data is hosted in the United Kingdom. Data is encrypted in transit and at rest, access is restricted to the people who need it, and we review our security measures regularly.

We share personal data only with the service providers who help us run IntelliDent - hosting, email delivery and analytics - each bound by a data processing agreement, and with authorities where the law requires it. We never sell your data.

The site sets an essential cookie to remember your cookie choice. Analytics cookies are set only if you accept them through the cookie banner. They help us understand how the site is used, including session recordings and heatmaps. We do not use cookies for advertising today; if that changes, we will update this policy and ask for your consent first. Declining analytics does not affect your use of the site.

• Enquiries - for as long as needed to deal with your message and any follow-up
• Newsletter - until you unsubscribe
• Customer data - for the life of the customer agreement; when an account closes we delete or anonymise its data within 90 days, unless the law requires us to keep it longer

You have the right to access, correct, delete or receive a copy of your personal data, to restrict or object to our processing of it, and to withdraw consent at any time. Email hello@intellident.uk and we will respond within 30 days. You can also raise a concern with the Information Commissioner's Office at ico.org.uk.

Where the platform receives data from Google APIs, our use of that data adheres to the Google API Services User Data Policy, including its Limited Use requirements.

We will update this page when the policy changes and revise the date at the top. If a change is material, we will tell you by email where we can.
